Subscriptions

What is a subscription?

A subscription is a recurring booking at your venue – the same court, same time, repeating at a set interval. For example, a customer might have a booking every Tuesday from 10:00–11:00.

Subscriptions are linked to a season, making it easy to manage recurring times across different periods of the year.

Subscription list

Go to Administration > Subscriptions to see all subscriptions at your venue. Use the filters to narrow the list by:

  • Season – show subscriptions for a specific season
  • Weekday – filter by day of the week
  • Time – filter by booking start time
  • Court – filter by court
  • Status – Active or Finished
  • Invoice status – whether the subscription has been invoiced
  • Payment status – whether it has been paid

Your filter settings are saved in your session so they persist as you navigate.

What you can do with subscriptions

Select one or more subscriptions and use Choose action to:

Sending messages to subscription holders

You can send a custom email to all customers who hold selected subscriptions:

  1. Select one or more subscriptions in the list.
  2. Click Choose action > Send message.
  3. Write your message. If your venue has a subscription contract text configured, it is included automatically.
  4. Optionally add yourself as BCC to receive a copy.
  5. Click Send.

Each customer receives one email regardless of how many subscriptions they hold. This is useful for communicating season changes, price updates, or contract information to all subscription holders at once.

Subscription slot redeems

When a subscription booking is cancelled and the slot is freed up, the customer may be entitled to compensation. The Redeems tab on the Subscriptions page shows an audit log of all such compensations.

Redeem strategies

Your venue’s redeem strategy determines how customers are compensated:

  • Invoice credit – a credit row is added to the customer’s invoice.
  • Gift card – the value is added to the customer’s value card balance.
  • Punch card ticket – a ticket is returned to the customer’s punch card.

When redeems are created

Depending on your venue’s configuration, a redeem is created either:

  • When the subscription booking is cancelled, or
  • When the freed slot is rebooked by another customer.

Viewing redeems

Go to Administration > Subscriptions and click the Redeems tab. The list shows the customer, redeem type (invoice/gift card/punch card), amount, and date. Use the search field and date range filter to find specific records.

Subscription statuses

A subscription can have one of two statuses:

  • Active – the subscription is running and bookings are created as scheduled
  • Finished – the subscription is stopped and no further bookings are created
