Invoicing

MATCHi has an invoicing feature that can be used to create invoice rows, invoices and sending them by email or as printed copies. Most venues have this feature even if it's not used but if you can't find Invoicing under the Administration tab, please contact support so we can activate it. There are also some integrations that can improve the invoicing administration, ask us to learn more about that.

Invoice flow

When a customer buys something from you that you want to invoice, you start by making the invoice row/rows, then you create the invoice. When the invoice is created it can be sent out to the customer by mail or you can choose to print the invoices to send them by post. Some functions in MATCHi have specific invoicing methods to get full use of the functionality, read more about this under the headlines "Memberships" and "Subscriptions".

The invoice flow works like this: an invoice purchase is made > all of the invoice rows are created > the invoices are created > the invoices are printed or sent out to the customer by email. If you are using an integrated bookkeeping system, the invoices will be sent there automatically as soon as they are created. Then the invoices will be sent out from there and not from MATCHi.

If the invoice is sent out by email in MATCHi it will only reach one of the customers email-addresses, even if the customer has both an invoicing-email and a contact-email. The priority is as follows: 

  1. First caretaker
  2. Second caretaker
  3. Invoice-email
  4. Contact information email

For venues with integration to a bookkeeping-system the priority is as follows:

As a default, we send the customer's email address and the invoice email address.
If the customer lacks an invoice email address but has a guardian's address, we send the customer's email address and the guardian's email address.
If the customer lacks both an invoice email address and a guardian's address, we only send the customer's email address.

Note that the guardian email is not used at all in the integration.
