What is the Orders page?
The Orders page gives you a complete overview of all transactions at your venue. Every booking, membership, subscription, activity, value card purchase, and form submission creates an order. Use this page to track payments, manage unpaid orders, and take bulk actions.
Go to Orders in the top navigation to open the page.
Filtering orders
Use the filter bar at the top to narrow down the order list:
- Date – select a date range. By default this filters by the date the order was created.
- Search by date paid – tick this checkbox to filter by when payment was received instead of when the order was created.
- Article – filter by order type: Booking, Membership, Subscription, Activity, Discount cards, or Application.
- Issuer – filter by who created the order: Venue (created by an administrator) or Player (created by the customer).
- Customer – search by customer name, email, or phone number.
- Status – filter by one or more statuses (see below).
Click Filter to apply your selections. The list updates with matching orders.
Understanding order statuses
Each order shows one of the following statuses:
- Paid (green) – payment has been received in full.
- Cancelled (red) – the order has been cancelled or annulled.
- Unpaid payment link (yellow) – a payment link has been sent to the customer but they have not yet paid.
- Unpaid invoice (yellow) – an invoice has been created but payment has not been registered.
- No available payment option (grey) – the order is unpaid and has no active payment link or invoice. Enable a payment link or mark it as paid to resolve this.
Bulk actions
Select one or more orders using the checkboxes, then click Choose action to perform a bulk operation:
Mark as paid
Records a cash or manual payment for the selected orders. A confirmation screen shows which orders are eligible. Orders that have already been paid or are invoiced cannot be marked as paid again.
Create invoice
Creates an invoice for the selected subscription or membership orders. You cannot mix subscription and membership orders in the same invoice action – select one type at a time. Orders that have already been paid or invoiced are excluded.
Enable payment links
Activates payment links for the selected orders, allowing customers to pay online through MATCHi. You can optionally send a notification to the customer. The customer must have a MATCHi user account linked to their profile.
Disable payment links
Deactivates payment links for the selected orders. Customers will no longer be able to pay online for these orders.
Message customers
Opens the messaging view with the customers from the selected orders pre-filled, so you can send them an email, SMS, or in-app message.
Order details
Click an order number in the list to view full details. The detail view shows:
- Description – what the order is for (e.g. court booking, membership type).
- Status and price – the current status and order amount.
- Customer – the customer linked to the order, with a link to their profile.
- Issuer – which administrator or system created the order.
- Payment breakdown – details of each payment method used, amounts, refunds, and service fees.
For split payments (where multiple people share the cost), each participant’s payment is shown separately.
The orders table
The orders list shows the following columns:
- No – the order reference number (click to view details).
- Created – when the order was created.
- Customer – the customer name (click to view their profile).
- Article – the order type (Booking, Membership, etc.).
- Issuer – whether the order was created by the venue or the player.
- Status – the current payment status.
- Price – the order amount (excluding service fees).
- Paid – the amount paid so far.
- Date paid – when the payment was completed.
Tips
- Use the Select all checkbox to select all orders matching your current filter, not just those visible on the current page.
- Orders with the status No available payment option typically need attention – either enable a payment link, create an invoice, or mark them as paid.
- When filtering by date paid, you can quickly find all payments received during a specific period for reconciliation.
