Hello, how can we help you today?

Venue created matches

  • Updated

Matches let you, as a venue, create pre-booked play sessions that players can discover and join through the MATCHi app. You set the time, skill level, and price - players pay for their own spot.

Configure Match Settings

Before you create your first match, set the venue defaults. Match Settings only affect new matches — existing matches keep their values.

  1. Go to Matches > Match Settings.
  2. Set Cancellation rule (hours before start): how late a player can cancel their spot with refund. Leave blank to fall back to the venue's general booking cancellation limit.
  3. Set Automatically cancelled (hours before start): when the system checks whether the match is full. If it isn't full at that point, the whole match is cancelled and every player is refunded.
  4. Click Save.

Create a match

Matches are always created from the schedule.

  1. In the schedule, click an empty slot on the court you want to use.
  2. Pick booking type Match.
  3. A create form opens. The court isn't booked yet — the slot is still free on the schedule.
  4. On the form, review and adjust as needed:
    • Number of spots - defaults from the sport and court attribute
    • Skill level - a range from 1–10. Players outside the range can't join.
    • Spot price - auto-calculated per customer category; you can override per category.
    • Cancellation settings - pre-filled from Match Settings; you can override per match.
  5. Click Create match.
  6. You're redirected to the match's edit page, where you can add participants.

Spot and price calculation - How it works

A match is a court booking with multiple player spots instead of a single booker. Players see the match in the app, pick a spot, and pay for that spot.

The number of spots is set by the sport and court attribute:

Sport Number of spots
Padel doubles court 4
Padel singles court 2
Tennis 2
Table tennis 2
Badminton 2

Other sports default to 2 spots.

Price per spot

The default spot price is calculated automatically as slot price per customer category ÷ number of spots. A 4-spot padel match with Standard slot price 400 SEK and Member 200 SEK gives 100 SEK and 50 SEK per spot respectively. Each player pays the lowest category they qualify for. All prices can be changed by admin.

Refunds

Who cancels When Refund
Player leaves themselves Before refund cutoff Spot price — excluding platform fee
Player leaves themselves After refund cutoff No refund
You use "Remove & Refund" Anytime Spot price including platform fee
You cancel the whole match Anytime Spot price including platform fee — to everyone
System auto-cancels (match not full) At the cancellation deadline Spot price including platform fee — to everyone

ℹ️ Note: The cancellation rule and automatic cancellation are two separate times. The cancellation rule controls when a player can cancel. Automatic cancellation controls when the system cancels a match that isn't full. You can set them independently - for example, cancellation rule 12 h, auto-cancellation 2 h.

Add and manage participants

The match edit page shows a row of cards — one per spot.

Add a player

  1. Type a name or email in the Add player search box.
  2. Pick the customer from the results. A confirmation panel opens.
  3. Choose a payment method:
    • Payment link - the customer gets a link to pay. They aren't added to the match until they pay.
    • Paid - records a cash payment. The customer is added immediately.
    • Unpaid - the customer is added immediately; you collect payment manually (on site).
  4. Leave Notify customer checked if the customer should receive a notification.
  5. Click Add.

Remove a player

On the player's card, click Edit:

  • Remove - removes the player without a refund. The spot reopens.
  • Remove & Refund - removes the player and refunds the full spot price including the platform fee. Only available when a payment has been captured.

What players see

In the MATCHi app, players see a Matches tab with two sub-tabs: Player Matches (player-created Open Matches) and Venue Matches (your matches).

Players can filter by sport, skill range, available spots, time of day, and day. They also see your matches on your venue's page (under the Matches tab) and via direct link.

Players outside the skill range can't join — they get the message "This match requires skill level X–Y. Your current level is Z." Players without a skill level are prompted to set one before they can join.

The platform fee is shown to the player at checkout as a separate line. It does not appear for you on the match edit page — it only appears on the player's receipt.

Things to keep in mind

  • A match stays open even if every player leaves. Only you, as an admin, can cancel a match outright.
  • Match Settings changes only affect new matches — existing matches keep their current values.
  • Match spots don't count against a player's normal booking limit.
  • Match revenue is reported separately from activity revenue in stats and accounting. The orders list has a Matches filter.
  • Punch and value card can be used as payment method
