Creating an activity occasion

An occasion is a single session of an activity. Each occasion has its own date, time, capacity, and price. Customers sign up for individual occasions.

From the schedule

  1. Go to Schedule.
  2. Click Mark several and select the time slots you want.
  3. Click Book.
  4. Search for the user who will own the booking (typically an internal or reception account).
  5. Select Activity as the booking type.
  6. Choose the activity this occasion belongs to.
  7. Set the occasion details:
    • Price and members price
    • Max participants
    • Available online – whether customers can sign up via MATCHi
  8. To create recurring occasions, tick Recurring, choose an end date, select the days of the week, and set the frequency.
  9. Click Confirm.

From the activity page

  1. Go to Administration > Activities.
  2. Click on the activity.
  3. Click Create occasion.
  4. Select available time slots from the schedule view.
  5. Configure occasion settings (price, capacity, online availability, registration windows).
  6. Click Save.

Occasion settings

Each occasion can have its own settings that override the activity defaults:

  • Price / Members price – override the activity’s default price for this occasion.
  • Max participants – set a different capacity than the activity default.
  • Min participants – set a minimum; if not reached by the cancellation deadline, the occasion is cancelled automatically and participants are refunded.
  • Message – a short note (max 255 characters) shown to customers for this specific occasion.
  • Available online – toggle online sign-up on or off.
  • Members only – restrict to members.
  • Sign-up window – control when registration opens and closes.
  • Activity type – e.g. Competition, Training.

Adding multiple courts

If an occasion needs more than one court, you can add additional court slots to an existing occasion. This is useful for activities that span multiple courts (e.g. a tournament).
