What are promo codes?
Promo codes offer customers discounts on bookings. You create a code (e.g. “BLACKFRIDAY”) that customers enter during checkout to receive a discount for a specific period.
Creating a promo code
- Go to Administration > Offers > Promo codes.
- Click Add Promo Code in the black bar.
- Configure the settings:
- Name – an internal name for the promo (e.g. “Christmas Eve”).
- Code – the code customers enter (e.g. “CHRISTMAS”). This is what players type during checkout.
- Discount – choose either a fixed amount or a percentage discount. You can only set one type.
- Start date – when the code becomes active.
- End date – when the code expires.
- Max number of usages – total number of times the code can be used across all customers. Leave empty for unlimited.
- Max usages per customer – how many times a single customer can use the code (default: 1). Cannot exceed the total max.
- Available online – make the code usable during online checkout.
- Click Save.
Filtering promo codes
Use the search fields at the top of the promo code list to filter by Name or Code. The filter works across all tabs (Active, API, and Archive).
Setting term groups
Term groups restrict which bookings a promo code applies to. Each term group can include conditions for dates, times, weekdays, courts, activities, and advance booking time. You can add term groups from the promo code edit page or in bulk from the list.
Adding terms from the edit page
- Click on a promo code to open it.
- Under Term groups, click Add term group.
- Enter a Group name and configure the conditions:
- Restrict to certain dates – limit to a date range.
- Restrict to certain times – limit to a time range.
- Restrict to certain days – limit to specific weekdays.
- Restrict to certain courts – select specific courts (default: all).
- Activities – select specific activities (leave all unchecked to include all).
- Restrict by advance booking time – only valid when the slot starts within this many hours from booking.
- Click Add Term to add each condition to the group.
- Click Confirm to save.
To edit or delete an existing term group, use the Edit term group or delete buttons in the term group overview.
Adding terms in bulk
To add the same term group to multiple promo codes at once:
- Select the promo codes in the list.
- Open the Actions dropdown and click Add Terms.
- Follow the step-by-step wizard to configure and confirm the term group.
Viewing statistics
Click on a promo code to see how many times it has been used and by which customers.
Archiving promo codes
To archive one or more promo codes, select them in the list and click Archive. Archived codes can no longer be used. View archived codes under the Archive tab.
Multi-venue promo codes
If your venue is part of a facility group, promo codes created by the master facility can be used at local facilities as well.
