Step-by-step: Report attendance (temporary solution)

The purpose of this solution is to allow you to continue registering attendance without having to do duplicate work, until the new complete attendance function (including import and reporting to RF) is launched.
 

Start by downloading the file found at the top of the page under Training PlannerCourse Planning.


When the file is created, only courses marked "Sync with IdrottOnline" under
Training Planner → Courses are included, so make sure all courses you want to report attendance for are marked with this setting before downloading the file.


Download the file and save it locally in a shared location for the club (e.g., SharePoint, Google Drive, or similar). This is advantageous if multiple people will be working in the file continuously.

The file consists of several tabs, each representing one week's course planning.
The file also contains 6 fixed columns that contain important information about your course sessions. 
NOTE! Do not change headers or column order.


The file comes largely pre-filled, with your leaders' and participants' names and personal ID numbers (personnummer) already included from the start. What you need to complete is their attendance/absence or if new participants have been added during the course.

  • To report attendance or mark disability, enter 1 or 0 in columns D, E, or F.
    The number 1 means Present, the number 0 means Absent.
    See the green-marked fields in the example image above.
    Leaders need to be marked with 1 under both "Leader" and "Present"
    NOTE! Fields cannot be left empty
     
  • If a new participant is to be added during the term, you can easily add their information to the file.
    Then you add a new row under the correct group/week and fill in the participant's complete personal ID number (12 digits) and fill in First Name and Last Name in the specified columns.
    Don't forget to add the new participant to subsequent weeks/sessions.

Be careful to Save the file after making changes so you don't lose completed attendance reporting.
